Write a clear formal letter

Plan a formal letter with a clear purpose, organised paragraphs and a concise closing.

Add time for revision

A formal letter communicates a request, concern or information respectfully. School writing tasks may specify a recipient, a situation and a word limit. Follow the format required by your current board or teacher; these notes explain the writing principles rather than claiming one layout fits every examination.

Plan before writing

Identify who is writing, who will read the letter and what action is wanted. Select two or three relevant points. A short plan keeps the letter focused and reduces repeated sentences that use up the word limit.

A common layout includes the sender’s address, date, recipient details, subject, salutation, body, closing and name. Exact placement and permitted forms can vary, so check your prescribed format.

  • The opening states the purpose promptly.
  • The middle gives specific facts and their effect.
  • The final paragraph requests a reasonable action or response.

Choose a respectful, specific tone

Use complete sentences and precise language. Describe a problem without insults or unsupported claims. For example, ‘The streetlight near the library has not worked for a week’ is more useful than ‘Nothing ever works here.’

Proofread names, dates, subject–verb agreement and punctuation. Use the identity supplied in the question for a practice task. Do not add real personal addresses or phone numbers to a publicly shared example.

Put it into practice

A worked example

Draft an opening for a letter requesting longer school-library hours before examinations.

  1. Name the purpose: a request about opening hours.
  2. Give a relevant reason: learners need a quiet place and access to reference books.
  3. Keep the tone polite and avoid demanding an impossible arrangement.

Answer: I am writing to request extended library hours during the examination preparation period. An additional hour after school would help students use reference books and study in a quiet setting.

Try it yourself

Have a go before revealing the answer.

  1. Suggest a concise subject line for that request.

  2. Replace ‘You must fix this immediately!’ with a formal request.

One option: ‘I request that the issue be inspected and resolved as soon as possible.’

Answer: One option: ‘I request that the issue be inspected and resolved as soon as possible.’

Watch out for these

  • Do not repeat the entire problem in every paragraph.
  • Check the examination’s required format and word limit instead of assuming every board uses the same rules.
